Is Microsoft Copilot Really the Most Productive App in Windows 11?

Microsoft recently made a bold claim - that Microsoft Copilot is now the number one productivity app in Windows 11.
That puts it ahead of long-standing favourites such as File Explorer, Microsoft To Do and even the Snipping Tool.
It's an interesting statement, particularly as more businesses begin exploring how AI can support day-to-day operations.
There is no doubt that Copilot has some impressive capabilities. It can summarise lengthy email conversations, help draft content, organise ideas, create task lists and assist with research. For busy professionals dealing with large amounts of information, that can be a real time saver.
Imagine opening an inbox containing dozens of messages on the same topic. Instead of reading every email individually, Copilot can quickly highlight the key points and actions. For many businesses, that's a genuinely useful feature.
But does that make it the most productive application in Windows 11?
For most organisations, productivity still depends on the tools working quietly in the background.
File Explorer remains one of the most heavily used applications on any Windows PC. Staff rely on it every day to access customer documents, manage folders, move files and organise information. Without it, productivity would quickly grind to a halt.
The same can be said for collaboration tools, task management applications and simple utilities that make everyday work easier. They may not attract the same attention as AI, but they are fundamental to how businesses operate.
Copilot doesn't replace these tools. Instead, it sits alongside them.
Think of it as an assistant rather than a replacement. It can help process information faster, create content and reduce repetitive tasks, but it still relies on your existing systems, files and processes.
This is why many businesses should be asking a different question.
Rather than focusing on whether Copilot is Microsoft's number one productivity app, consider where your team currently loses time.
Is it spent searching for files?
Managing email overload?
Creating repetitive documents?
Switching between multiple systems?
AI can certainly help address some of these challenges, but it is rarely the complete solution on its own.
Businesses that see the greatest benefits from AI are often those that already have organised systems, structured data and clear processes in place. AI then becomes a force multiplier rather than a sticking plaster.
Microsoft's focus on Copilot reflects the direction the technology industry is moving. AI will undoubtedly play an increasingly important role in the workplace over the coming years.
However, true productivity comes from combining the right technology, processes and security controls to support your business goals.
For some organisations, Copilot may become an essential daily tool. For others, improvements to document management, collaboration or workflow automation could deliver a greater return on investment.
The most productive tool isn't necessarily the newest one.
It's the one that removes the biggest obstacle from your working day.
